Information We Collect
Contact Form
When you submit our contact form, we collect your name, email address, subject, and message. We use this information solely to respond to your inquiry, whether it’s about volunteering, sponsorship, organizing a cleanup, or general questions. Submissions are sent to our organizational email inbox and are not shared with third parties except as needed to respond to you.
Email Newsletter
If you sign up for our email updates, we collect your email address to send occasional news about upcoming cleanups, volunteer spotlights, and impact updates (typically 1-2 emails per month). You can unsubscribe at any time using the link in any email we send, or by contacting us directly.
Donations
Donations made through our website are processed by Zeffy, a third-party donation platform. When you make a donation, your payment information (card details, billing address, etc.) is collected and processed directly by Zeffy — we do not receive or store your payment details on our own servers. Zeffy shares with us the donor information necessary to acknowledge your gift and issue a tax receipt, such as your name, email address, and donation amount. Please review Zeffy’s Privacy Policy for details on how they handle your payment and personal information.
Cookies and Analytics
Our website uses Google Analytics, a web analytics service provided by Google, to help us understand how visitors use our site — for example, which pages are most visited and how people find us. Google Analytics uses cookies to collect this information anonymously and in aggregate; it does not identify you personally. This data helps us improve our website and better serve our community.
You can opt out of Google Analytics tracking by installing the Google Analytics Opt-out Browser Add-on, or by adjusting your browser’s cookie and tracking settings. For more information on how Google collects and processes data, see Google’s Privacy Policy.
How We Use Your Information
We use the information we collect to: respond to your questions and requests; send you newsletter updates you’ve opted into; process and acknowledge donations; understand how our website is used so we can improve it; and communicate with volunteers and sponsors about cleanups and events.
Who We Share Your Data With
We do not sell, rent, or trade your personal information. We only share information with trusted service providers who help us operate our website and programs, including:
- Zeffy — for processing donations
- Google Analytics — for anonymized website traffic statistics
- Our email and website hosting providers — to operate our contact form, newsletter, and website
We may also disclose information if required by law or to protect the rights, property, or safety of HVCC, our volunteers, or the public.
Data Security
We use reasonable technical and organizational measures, including website firewall and security monitoring, to protect the information you share with us. However, no method of transmission over the internet is completely secure, and we cannot guarantee absolute security.
How Long We Retain Your Data
We retain contact form submissions and newsletter subscriber information for as long as needed to respond to your inquiry or as long as you remain subscribed. Donation records are retained as required for our nonprofit’s financial and tax record-keeping obligations.
Your Rights
You can ask us at any time to tell you what personal information we hold about you, correct inaccurate information, or delete your information (except where we’re required to retain it for legal, tax, or accounting purposes). To make a request, contact us using the information below.
Children’s Privacy
Our website is not directed at children under 13, and we do not knowingly collect personal information from children under 13. If you believe a child has provided us with personal information, please contact us and we will delete it.
